Account & login
How do I create an account?
From the home page, choose Get started (or Sign up on the login screen). Enter your name, email, and a password of at least 8 characters.
We email a verification link that expires in 24 hours. You need to confirm your email before you can log in. Signing up for events and joining a team you are invited to is always free.
I did not get a verification email. What should I do?
Check spam and promotions folders, and confirm you typed the address correctly. On the login screen, try signing in — if the account is unverified you will see a button to resend the verification email.
If nothing arrives, use the form at the bottom of this page or email support@signuparoo.com from the address you registered with.
How do I reset my password?
On the login screen, choose Forgot password? and enter your email. If that address belongs to a verified account, we send a reset link that expires in 1 hour.
For security we show the same confirmation whether or not the email is in our system. After you are signed in, you can also change your password from Settings.
How do I update my name, email, phone, or photo?
Open Settings from the sidebar or your account menu. You can change your name, email, phone, and profile photo there. Photos must be JPEG, PNG, WebP, or GIF and no larger than 2 MB.
Changing your email sends a new verification link and you will need to confirm the new address. Phone numbers are optional and are used for SMS if you opt in under Notifications. US numbers do not need a country code.
Where are the privacy policy and terms of service?
The Privacy Policy explains what information we collect and how we use it. The Terms of Service cover accounts, events, and paid organizer plans.
Both are linked in the site footer and on the create-account screen.
I see “Too many attempts.” What should I do?
Login, registration, password reset, and verification resend are rate-limited to protect accounts. Wait about 15 minutes (up to an hour after many registration tries), then try again.
If you still cannot get in after waiting, use the form below or email support@signuparoo.com from the address on the account.
Why can I not log in? My account may be disabled.
If an administrator has disabled your account, you will see a message asking you to contact an administrator. Event organizers and team owners on your events cannot re-enable it — only a SignUparoo app admin can.

Notifications
How do notifications work?
In-app notifications (the bell in the header) are always on. In Settings you can also turn on email and/or SMS for each category — team invites, volunteer sign-ups, cancellations, published events, upcoming shifts, and more.
Email and SMS are off by default except failed subscription payments (email on for organizers), upcoming volunteer-shift reminders, and unpublished-event date reminders (email on so you get a heads-up even if you are not in the app). You can change any of these in Settings.
Why did I not get a text message?
SMS only sends if you have a valid phone number on your profile and you opted in to SMS for that notification type. Add a number in Settings, enable SMS for the categories you care about, and save.
Carrier filtering and quiet hours can still delay or block messages. If email is arriving but SMS is not, try email for that category or contact support.
Will I get a reminder before my volunteer shift?
Yes. Once a day we send an in-app reminder for assignments that are today, tomorrow, or about a week away. Email for those reminders is on by default; SMS is off unless you opt in.
Turn email or SMS off for “Upcoming volunteer shifts” in Settings if you do not want them.
Will I be reminded if a draft event is about to start?
Yes. If you organize an unpublished event whose dates are today, tomorrow, or about a week away, we send you an in-app reminder to publish it. Email for those reminders is on by default; SMS is off unless you opt in.
Turn email or SMS off for “Unpublished event dates” in Settings if you do not want them.
How do I get browser notifications?
In Settings, enable “Show browser notifications while SignUparoo is open,” then allow notifications when your browser asks. This only works while the app is open in that browser, and some browsers do not support it.
Signing up to volunteer
How do I find events to volunteer for?
Open Events and use the Public Events tab for published events anyone can join. My Events lists events you organize, belong to through a team, or were invited to. Past Events shows ones that have already ended.
Your Dashboard highlights what’s next: pending invites, this week’s shifts, upcoming events, open public events with spots left, and (for organizers) drafts and understaffed events. After you sign up, those shifts appear on Calendar too.
How do I sign up for a shift?
Open the event from Public Events (or from an invite/team). Each position shows how many spots are filled. If the position has shifts, pick a time that still has capacity and choose Sign up. If there are no shifts, you sign up for the position itself.
If the organizer added custom questions, you will answer those during sign-up. Required questions must be completed before your sign-up is saved. You will see Cancel next to any shift you are already on. Organizers of an event cannot sign up as volunteers on their own event — they manage the roster instead.
Where do I find files the organizer shared?
After you are confirmed on a position or shift, open the event. If the organizer shared documents with confirmed volunteers, a Documents section lists them with Download links.
Files marked organizer-only never appear for volunteers. If you expected a handout and do not see it, ask the organizer to set Who can access to Confirmed volunteers.
How do I cancel a volunteer sign-up?
Open the event, find the position or shift you claimed, and choose Cancel. The organizer is notified if they opted in to cancellation alerts. If a shift is full, canceling frees a spot for someone else.
Why can I not sign up for an event?
The event must be published. Private events are only open to people on a linked team or who accepted an event invite — they will not appear under Public Events.
You also cannot sign up if you created the event, if the shift is full, or if you are already signed up for that same shift. Ask the organizer to publish, invite you, or add capacity if you think you should be able to join.
I received an event invite. What do I do?
Open the link in the email. If you do not have an account yet, the invite will walk you through creating one, then join you to that event. Invites expire after 7 days — ask the organizer to send a new one if yours lapsed.
Pending invites also show on your Dashboard so you can accept them from there.
Creating and running events
How do I create an event?
On Events, choose New Event. Add a title, optional description and location, and optionally attach teams. New events start as drafts so you can set up the schedule before anyone signs up.
The Free plan includes up to 3 events, Organizer up to 10, and Pro is unlimited. If you hit a limit, upgrade from Billing.
What is the difference between a position and a shift?
A position is the role you need filled — greeter, concession stand, coach, and so on. You set how many people you need and optional dates.
Shifts are the specific time slots under a position (Saturday 9–12, Sunday 1–4, etc.). If a position has shifts, volunteers pick a shift. If it has none, they sign up for the position as a whole. You need at least one position before you can publish.
How do I publish an event, and what does visibility mean?
Open the event, go to Settings, and choose Publish event. Published events can accept sign-ups. Drafts cannot.
Visibility is separate: Public listed events appear on the Public Events tab. Private events stay off that list and are only available to linked team members and people you invite. You can change visibility anytime.
If a draft still has dates today, tomorrow, or about a week away, we remind you to publish it.
What happens if I unpublish or delete an event?
Unpublishing hides the event from Public Events, blocks new sign-ups, and removes all volunteer assignments. Assigned volunteers are notified. You cannot delete a published event — unpublish it first, then delete from Settings.
Deleting is permanent. If you only need to stop sign-ups temporarily, unpublish instead.
How do I invite volunteers or assign someone to a shift?
On the event’s Volunteers tab you can send email invites (they expire in 7 days) and, once the event is published, assign a person to a position or shift by email or from team members.
Assigning someone confirms them on the roster even if they have not signed up themselves. You can also cancel an assignment from that tab if plans change.
Can I ask volunteers custom questions when they sign up?
Yes on paid plans. On an event’s Overview tab you can add questions (for example shirt size or emergency contact). Mark each one required or optional. Volunteers answer when they sign up; required questions must be filled in before the sign-up completes.
The Organizer plan allows up to 3 custom questions per event. Pro allows unlimited questions. The Free plan does not include custom questions — upgrade from Billing to use them.
What are event Notes for?
On an event you organize, open the Notes tab for private planner notes — contacts, reminders, run-of-show details, and so on. Only you (and SignUparoo app admins) can see them; volunteers never can.
Notes support basic formatting (headings, lists, links) and save automatically as you type.
How do I share documents with volunteers?
On an event you organize, open the Documents tab. Upload a file, optionally add a title, and choose Who can access: Organizer only, or Confirmed volunteers.
Accepted types include PDF, Word, Excel, PowerPoint, text/CSV, and JPEG/PNG/WebP images, up to 4 MB each. Confirmed volunteers see volunteer-shared files on the event page and can download them. You can change visibility or delete a document anytime.
Where can I see activity on my event?
Open the Audit tab on an event you organize. It lists recent sign-ups, cancellations, invites, publish/unpublish actions, and similar activity for that event, including when it happened and who did it.
The global Audit log in the sidebar is only for SignUparoo app admins. Event Audit is the place for organizers to review their own event history.
Why can I not create another event?
Your plan caps how many events you can own (3 on Free, 10 on Organizer, unlimited on Pro). Archive or delete events you no longer need, or upgrade. SignUparoo app admins are not limited.
Teams
What are teams?
Teams group the people you coordinate with — a ministry, a booster club, a coaching staff. You can attach teams to events so members can see and sign up without the event being public. Joining a team you are invited to is always free.
How do I join a team?
A team owner or admin sends an invite to your email. Open the link (it expires in 7 days). If you do not have an account yet, you can create one from the invite and you will be added to the team.
How do I create a team?
Creating teams requires the Pro plan ($20/mo or $200/yr). On Teams, choose New Team — if your plan does not include it, you will be pointed to Billing to upgrade.
You can still be a member of teams other people create on any plan.
What do Owner, Admin, and Member mean?
Owner can manage the team, invite people, change roles, attach events, and delete the team. A team always needs at least one owner. Admin can invite and manage members but cannot take those owner-only actions. Member can see the team and its events and sign up as a volunteer.
Owners can transfer ownership to another member from the team page.
Calendar, dashboard & reports
What shows up on the calendar?
Calendar includes shifts from events you organize and events you have signed up for. Switch Day, Week, or Month in the toolbar. On smaller screens the week view shows three days at a time so blocks stay readable.
Click a shift to open the event (organizer view if you created it, volunteer view otherwise).
Can I add an event to Google Calendar or iCal?
Yes. Open an event and choose Add to calendar. Google Calendar opens a new event in your browser. iCal downloads a .ics file you can open in Apple Calendar, Outlook, and other calendar apps.
The calendar entry uses the event’s dates. If the event is a single day with timed shifts, it uses the earliest start and latest end time.
Who can see Reports?
Reports appears in the sidebar if you organize at least one event or you are an owner/admin of a team. Staffing, sign-ups, and invites cover the events you manage. Team reports show if you can manage teams. App-wide user and event reports are limited to SignUparoo admins.
What shows on my Dashboard?
Dashboard is your home base after you sign in. Everyone can see Next up, This week, upcoming events and shifts, teams, and open public events with spots left. Pending invites appear there too.
If you organize events, you also get Needs attention (understaffed published events), Drafts, and Recent activity for sign-ups and cancellations. New accounts without events, shifts, or teams see a short Getting started checklist.
Billing & plans
Do volunteers have to pay?
No. Signing up for shifts and joining a team you are invited to is always free. Plans are only for people who create events (and, on Pro, create teams).
What is included in each plan?
Free is $0 and includes up to 3 events (no custom volunteer questions). Organizer is $7/mo or $72/yr and includes up to 10 events plus up to 3 custom volunteer questions per event. Pro is $20/mo or $200/yr with unlimited events, unlimited custom volunteer questions, and the ability to create teams.
All plans include unlimited volunteer sign-ups, event notes, documents, calendar export, and the organizer Audit tab. You can switch monthly/annual billing from Billing. SignUparoo app admins manage billing from the Users area instead of this page.
How do I upgrade, downgrade, or update my card?
Open Billing from your account menu. Choose a plan to start checkout or change an existing subscription. To update a card or download invoices, choose Manage payment method — it opens Stripe’s customer portal with payment methods and invoice history.
If you downgrade below the number of events (or teams) you currently have, you will be asked which events to keep before the change applies. Extra events and teams that do not fit the new plan are removed.
What does “Complimentary access” mean on Billing?
Occasionally SignUparoo grants Organizer or Pro features without a charge. Billing then shows a Complimentary access note. You keep those plan limits until the grant ends; you can still subscribe if you want ongoing access after that.
If you think you should have complimentary access and do not see it, contact support.
What if a subscription payment fails?
We email you when a charge fails (that notification stays on by default). Update your card from Billing as soon as you can. If the subscription lapses, your account falls back to Free plan limits until payment succeeds again.
