Privacy Policy

Information we collect

We collect information you provide, information created as you use the service, and limited technical data needed to run the site.

• Account: first name, last name, email address, and a hashed password. Phone number and profile photo are optional.
• Event and team data: events, positions, shifts, assignments, custom volunteer questions and answers, invitations, team memberships, and related messages you send through the product.
• Billing: if you subscribe, Stripe processes card payments. We store Stripe customer and subscription identifiers, plan, and billing status. We do not store full card numbers.
• Support: name, email, topic, and message when you use the Help form.
• Technical: session cookies, IP address as seen by our host, and basic logs. We also record first-party analytics for public pages (path, referrer, browser user agent, and IP) so operators can monitor site traffic; these records are retained for a limited period. If you turn on “remember email” on login, that email is stored in your browser. If you enable browser notifications, that preference is stored in your browser.

How we use information

We use this information to:

• Create and secure your account, including email verification and password reset.
• Run events and teams: staffing, invitations, calendars, and notifications you choose.
• Send email (and SMS if you opt in and add a phone number) about accounts, invites, sign-ups, and similar product messages.
• Process paid organizer subscriptions through Stripe.
• Respond to support requests and keep the service reliable and secure.
• Monitor public website traffic and keep an audit trail of important account, event, and billing actions.

When we share information

We do not sell your personal information. We share it only as needed to operate SignUparoo or as required by law.

• Other users: organizers and team admins of events or teams you belong to can see information needed to staff those events, such as your name, email, shift assignments, and answers to custom volunteer questions.
• Service providers: hosting (Vercel), database (Aiven), file storage for photos (Vercel Blob), email delivery, optional SMS (Twilio), and payments (Stripe). They process data on our instructions.
• Legal: we may disclose information if we believe it is required to comply with law, protect people, or enforce our Terms.

Cookies and similar storage

We use an HTTP-only session cookie so you stay signed in. That cookie is required for the logged-in product. We do not use advertising cookies.

Optional browser storage: remembered login email, and whether you enabled browser notifications while SignUparoo is open.

Retention and deletion

We keep account and event data while your account is active and as needed to operate the service, resolve disputes, and meet legal duties.

Public page traffic records (path, referrer, user agent, and IP) are kept for about 90 days, then deleted automatically.

To request that we close your account and delete personal data we control, email support@signuparoo.com from the address on the account. We may retain limited records (for example billing or audit history) where we must.

Children

SignUparoo is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has an account, contact us and we will delete it.

Your choices

You can update name, email, phone, photo, password, and notification preferences in Settings. You can decline SMS and browser notifications. You can cancel a paid plan from Billing; volunteer use of the product remains free.

Changes

We may update this policy. The “Last updated” date at the top will change. Continued use after an update means you accept the revised policy. Material changes may also be announced in the product or by email.
